Customs Clearance Process Explained: Shipping a Car Out of the UK

Every vehicle leaving the UK by sea or air must clear customs before it can be loaded onto a vessel. This is a legal requirement enforced by HM Revenue & Customs (HMRC), and it applies whether you are shipping a family car, a classic, or a commercial vehicle. Customs clearance confirms that the vehicle is legally owned, correctly declared, and free of any outstanding finance or legal restrictions that would prevent export.

Many first-time exporters assume customs clearance is a formality handled entirely by the shipping line, but in reality it is the exporter's (or their agent's) responsibility to ensure the correct declarations are made through the National Export System (NES). Missing or incorrect paperwork is one of the most common causes of shipment delays, storage charges, and in some cases, vehicles being refused loading at the port.

Before your vehicle can be cleared for export, you will typically need to provide the V5C logbook (with the export section completed if the vehicle is being permanently exported), a valid form of photo ID, proof of purchase or ownership, and — if applicable — a letter of authority if you are shipping on behalf of someone else.

Commercial exporters or those shipping multiple vehicles will also need an EORI (Economic Operator Registration and Identification) number, which is used to track customs declarations. If the vehicle was purchased on finance, a settlement letter from the finance company confirming the loan has been cleared is essential, as customs and the shipping line will not release a vehicle still under a finance agreement.

Once your booking is confirmed, an export declaration is lodged electronically through the National Export System. This declaration includes details such as the vehicle's registration, chassis number, value, destination country, and commodity code. For most private vehicle exports, this process is straightforward and can be completed within a day or two, provided all supporting documents are accurate. Discrepancies between the V5C details and the physical vehicle — such as a mismatched VIN — are a common cause of hold-ups, so it's worth double-checking your documents before booking.

While NOVA (Notification of Vehicle Arrivals) applies to vehicles being imported into the UK rather than exported, it's worth understanding if you're shipping a car in either direction, since many of our customers ship vehicles both to and from the UK. If you are bringing a vehicle into the UK, you must notify HMRC via NOVA within 14 days of import, which then determines whether VAT is due.

On the export side, if you're a UK resident permanently leaving the country with your vehicle, you may be able to zero-rate VAT on the sale or use of the vehicle, but this depends on your specific circumstances and it's best discussed with an accountant or our team before shipping.

The most frequent causes of customs delays include missing V5C documents, outstanding finance that hasn't been settled, incorrect or incomplete personal identification, and vehicles arriving at the port without prior booking confirmation. Each of these can result in the vehicle missing its scheduled sailing, incurring storage fees, and pushing back the entire shipment timeline by weeks.
